Having Your Annual General Meeting in a Time of COVID

Term 4 is AGM time for many P&C Associations, and we encourage you to review the Annual General Meeting checklist at this link.

Some P&C Associations were forced to postpone their 2020 AGM due to pandemic restrictions, and we are sometimes asked by these P&C Associations if they may cancel their 2020 AGM entirely and wait for their 2021 AGM. We do not suggest this, for several reasons:

  1. It is a constitutional requirement to have an AGM each year. P&C Federation advises in order to meet your compliance obligation an AGM is held in 2020 and your AGM for 2021 would occur as normal.
  2. One of the main purposes of the AGM is to acquit your P&C Association’s funds and financial situation by tabling an auditor’s report. If your P&C Association is a registered charity, you must also have your financials signed off in order to complete your mandatory reporting to the Australian Charities and Not-for-profits Commission (ACNC). This page has more information on reporting requirements of the ACNC.

If your P&C Association is currently not permitted to meet on school grounds, this does not mean you have to cancel your AGM. P&C Associations can still meet face-to-face at an offsite venue, or (if your P&C Association is incorporated) have a virtual AGM. This page gives more detail in how to have meetings if you cannot meet at the school.
